Staff Switching — One Login, Every Coach

One login. Every coach. Switch with a PIN.

No more passing the iPad around. No more "what's the password again?" No more ex-coaches still in your account six months later. Tap the avatar, punch in 4 digits, coach.

The problem

Shared passwords are how gyms leak.

Most gyms run the front desk on one owner login. Coaches write it on a sticky note. The door code goes home with the summer hire. No one knows who did what — and when someone quits, the account doesn't.

How it works

Three steps. Zero shared passwords.

  1. Step 1

    Each staff gets a PIN

Invite your coaches and front-desk staff. Each one picks a 4-digit PIN — same idea as a debit card. They never need the owner password.

  2. Step 2

    Tap the avatar to switch

You log into the account once. When a coach takes over the iPad, they tap the avatar, enter their PIN, and they're acting as themselves — in under a second.

  3. Step 3

    Every action is theirs

Check-ins, refunds, member notes, messages — all tagged to the staff member who did them. When a coach leaves, revoke one PIN and they're out.

What you get

Built for the front desk, not the IT department.

  • Per-person accountability

Every action in Schedulous is attributed to the real person — not "the owner account." Coaching history, note edits, refunds, everything.

  • Instant handoff

Mid-class shift change? Tap avatar, PIN, done. No logout, no login, no waiting for the browser to load a fresh session.

  • Clean offboarding

When a coach leaves, you revoke their PIN. Their access ends immediately — without changing the account password or locking anyone else out.

  • Role-aware

Each staff member has a role (owner, admin, coach, front-desk). The PIN switch respects it — coaches can't open the billing settings.

  • Masquerade is obvious

When you're acting as someone else, the UI tells you. Stepping out is one click back to yourself.

  • Full audit log

Every PIN switch is recorded with timestamp, IP, and who switched to whom. Troubleshooting and compliance, both covered.

Stop sharing the password. Start tracking who did what.

Included on every Schedulous plan. No add-on fee, no "contact sales."
